Use individual accounts, roles and store assignments instead of sharing the owner login.
Decide what the person needs to do
A cashier may need POS and relevant order access, but not permission to change business settings, delete records or manage roles. A store manager may need purchases and reports for their own store. Start from the job, not from a checkbox labelled "all".
Set up the role and account
- With owner/administrative permission, open People > Roles.
- Create or review the role, selecting only its required actions. Save it.
- Open People > Users and create or edit the staff member's individual account.
- Assign the role, default Store, and allowed Stores. Check the separate record-access options where shown.
- Save and arrange a private sign-in for the staff member. Do not send the owner's credentials.
Store assignments and role permissions work together. Access to a menu alone does not establish permission to edit every record or change every price.
Test the staff view
Sign in with a separate staff session. Check the assigned store can be selected, a permitted action works, and a restricted store/action is unavailable. Test a typical sale in a dedicated test workspace, not against live business stock.
Review access after role changes rather than assuming an already-open browser immediately reflects every change. Ask the person to sign in again when necessary.
When someone leaves
Use the staff account's active/access controls to remove access and review the user's role/store assignments. Follow your account-security procedure for shared or lost devices. Never reuse one employee's account for another person: individual histories should remain understandable.
Staff management is not payroll, time tracking or a promise of automatic email invitations. Use account protection, store setup, and support if a permitted action is missing.
