Complete a stock count without overwriting newer stock

Compare a physical count with the correct store snapshot.

Plan the count

Choose the store and the products you will count. Coordinate with staff so sales, receipts and transfers do not make the count stale while you are counting. You need stock-count permissions.

Start and complete

  1. Open Products > Stock Counts and choose Create Stock Count.
  2. Select a full or partial count. For a partial count, choose the relevant brands or categories.
  3. Save the count and use its generated file to record physical quantities.
  4. Return to the same count and upload the Final File.
  5. Review the completed quantities, use Finalize when ready, and save.
  6. Check the count record and resulting store quantities.

If stock moved during the count

The application rejects stale snapshots rather than resetting newer movements. Review intervening sales, purchases and transfers, then start a fresh count where necessary. Do not alter the old file merely to suppress the warning.

Expected result

The count applies atomically to its own store. Reopening or replaying a completed count must not reset stock movements that happened afterwards.

For a known loss, damage or correction, use stock adjustments with a meaningful explanation.
